The short version
A submitted service request is stored so it can be acted on. It is deleted automatically 400 days after it is submitted by a scheduled job that runs daily, not on request, not when someone remembers. You can also ask for a copy or for earlier deletion at any time.
What data a service request stores
Only what is needed to act on the request. Two things worth naming specifically, because they are the ones people assume are stored and are not:
- Your name, phone, email, service address, town and ZIP
- The service selected, urgency, property details and what you wrote in the description
- Which page you submitted from, so we know what led you there
- The consent version you agreed to, and the time of submission
- A one-way HMAC hash of your IP address for abuse prevention: the address itself is never written to the database
- No browser user-agent string is stored at all
Retention: 400 days, enforced automatically
Records are deleted 400 days after submission. That is enforced by a scheduled task that runs every day against the database, rather than by anybody remembering to do it. The window covers a full seasonal cycle plus a period for any dispute about work that followed from the request.
If you would like a record removed before that, ask: see below. There is no requirement to give a reason.
How to request access, correction or deletion
Write to privacy@burlingtonvtplumbinghvac.com from the email address you used on the request, or tell us the phone number and approximate date so the record can be identified. We will confirm what we hold, correct anything wrong, or delete it.
We ask for enough information to be confident the request is coming from the person the record is about. That is a protection for you: an easier process would also make it easier for someone else to obtain or delete your information.
If your request has already been passed to an independent local business, that company holds its own copy under its own privacy practices and its own agreement with you. Deleting our record does not delete theirs. Ask them directly, and we will tell you who it was.
The consent wording, published in full
Every stored request records which version of the consent wording was shown at the time. The current version is 2026-08-13-v4, effective 2026-08-13. It reads, in full:
"I consent to this request being stored and shared with an independent local service business that may contact me by phone, text or email about this request. Consent is not general marketing consent."
This is the only version that has been in use. Any future change will add a new version rather than editing this one, so a stored record can always be resolved to the exact words shown at the time.
What this consent does and does not cover
It covers being contacted about the request you submitted, by an independent local service business, by phone, text or email. It is not general marketing consent and it is not a subscription. If you are contacted about something other than your request, that is outside what you agreed to and worth telling us about.
Common questions
How long do you keep my information?
400 days from submission, after which it is deleted automatically by a daily scheduled task. You can request earlier deletion at any time without giving a reason.
Do you store my IP address?
No. A one-way HMAC hash of it is stored for abuse prevention: enough to recognise repeated submissions from the same source, not enough to recover the address. The raw address is never written to the database.
How do I get my information deleted?
Write to privacy@burlingtonvtplumbinghvac.com from the email you used, or give the phone number and rough date so the record can be found. No reason is required.
